Admissions module

Admissions Management Software for Schools

Run enquiries, applications and new admissions in one place, so a parent who calls in September is still on your list in November.

Enquiry to enrolment · one record throughout

Every enquiry recorded

Walk-ins, calls and online forms land in the same list.

Nothing goes cold

Follow-ups are scheduled rather than remembered.

No re-typing

An admitted applicant becomes a student record as it stands.

What the admissions module covers

The whole path a family takes, from first phone call to a seat in a class.

Enquiries

Walk-ins, calls and web enquiries in one list, with the source recorded against each.

Applications

Forms, documents and application fees collected against the applicant.

Selection

Shortlisting, interview or test notes and the final decision, kept with the application.

Enrolment

Admitted applicants convert to student records with class and section assigned.

Why admissions leak

Most schools lose applicants to slow follow-up rather than to a competitor down the road.

  • Enquiries stop living in a notebook at reception.
  • You can see how many enquiries became admissions, and where the rest stopped.
  • Documents sit against the applicant instead of a shared drive.
  • Application fees are collected and receipted like any other payment.
  • Parents get updates by app, WhatsApp or SMS at each stage.
Enquiry and Visitor Management

Enquiry & Visitor Management

Secure and simplify visitor and enquiry processes for better organization.

  • Log visitor details digitally with real-time tracking for security purposes.
  • Manage new admissions enquiries with a systematic follow-up system.
  • Provide scheduled appointments for prospective parents and stakeholders.
  • Generate reports on visitor activity to ensure transparency and accountability.

Where admissions actually leak

An enquiry almost never arrives at a convenient moment. A parent calls during a lesson changeover, or walks in while the office is dealing with a fee query, and the details get written on whatever is to hand. The follow-up then depends on one person remembering, and admissions season is precisely when that person has least capacity.

The second problem is that most schools cannot say what their conversion rate is. If you do not know how many enquiries became applications, and how many applications became admissions, you cannot tell whether the issue is that too few families are hearing about you, or that too many of the ones who do are being lost after first contact. Those two problems have completely different solutions, and guessing between them wastes a season.

What to check when comparing admissions systems

  • Does an admitted applicant become a student record without anyone re-typing anything? This is the single biggest time saving, and not every system does it.
  • Can enquiries from every channel — walk-in, phone, website — land in one list rather than three?
  • Is each follow-up assigned to a named person with a date, so it appears on their list rather than relying on memory?
  • Can you report on source and stage, so you can see where families drop out?
  • Are documents collected and stored against the applicant, rather than in a shared drive organised by whoever filed last?

Getting it ready before the season starts

Configure your stages to match the process you actually run, rather than reshaping your admissions around the software. If you interview, there should be an interview stage; if you do not, do not add one. Get the online enquiry form live before any campaign begins, so the first enquiries it generates land in the system rather than in an inbox. And decide in advance who owns follow-up, because a shared responsibility is usually nobody’s.

Common questions

Can parents apply online?

Yes. Enquiry and application forms can be completed online, and they land in the same list as walk-ins and phone enquiries.

Do we re-enter data when a student is admitted?

No. An admitted applicant converts into a student record, carrying across the details and documents already collected.

Can we collect application fees through the system?

Yes, through the payment gateway connected to your fee module.

Can we see where enquiries come from?

Yes. Source is recorded on each enquiry, so you can compare walk-ins, calls and online forms.
