Scenario · fees and communication
Fee Collection Without the Month-End Chase
A school where fee reminders go out by hand, payments arrive through four different routes, and someone spends the last week of every month working out who has actually paid.
Illustrative scenario · fees and parent communication
Scheduled by due date rather than typed one at a time.
Online payments land against the student’s account.
Live, rather than assembled at month end.
An illustrative scenario. This page describes how eSchoolApp is designed to work in a situation schools commonly describe to us. It is not a case study of a particular school, and the figures and outcomes a school sees will depend on its own size, processes and starting point. If you would like to speak to schools already using eSchoolApp, ask us during a demo.
What the month looks like
The same four weeks, before and after the paperwork moves into one place.
Before the due date
Reminders go out by app, WhatsApp or SMS on a schedule you set, with the amount and due date already filled in.
When a parent pays
An online payment posts straight to the student’s account through your payment gateway, with a receipt issued automatically.
When a parent has not paid
They stay on a live outstanding list, and follow-up reminders continue without anyone rewriting them.
At month end
The collection position is already there. Nobody reconciles a spreadsheet against a bank statement to find it.
What actually changes
The work does not disappear. It stops being manual, and it stops landing in the same week every month.
- Reminders are scheduled rather than typed, so they go out even in a busy week.
- Parents can pay when it suits them instead of queueing at the office.
- Payments made online do not need re-entering by the accounts team.
- The outstanding list is live, so the school knows its position at any point.
- Receipts are issued automatically rather than written out.
Common questions
Do parents have to pay online?
No. Cash and cheque payments are recorded against the same account, so the outstanding list stays accurate either way.
Which payment gateway does this use?
Whichever one you use or choose. Tell us during a demo and we will confirm the fit.
Can we set our own reminder schedule?
Yes. You decide how far ahead of the due date reminders start and how often they repeat.
What about parents who do not use the app?
They are reached by WhatsApp or SMS instead.
